Information begins 11:45 minutes into the video.
- Updates
- Speaker page improvements
- Renaming your event and changing your slug via the main "event" page (13:20)
- Event end times automatically shut down Zoom rooms - this way, you won't be charged for meetings you accidentally leave running after your event ends
- Explanation of event slug (15:50)
- It's a subdomain that Obvio users can customize to their event.
- Running concurrent sessions (19:20)
- You must have a room within each area
- Room = Zoom meeting
- Area = larger area where we direct attendees (a button would direct people to an "area", like Main Stage, and then, as long as the user has set up and activated a room, the attendee will automatically be routed to their Zoom meeting
- Linking buttons on the Dashboard to various areas (view demo beginning at 20:00)
- Running breakout rooms from within Zoom (Grant explains at 23:30)
- Sizing your Dashboard buttons (21:00)
- Button size is out of 12 - it will default to 12 with squared edges
- If you reduce the size of the button to 6 and add another button, Obvio will situate them on the same line next to each other (you can switch their positioning via drag and drop)
- Request recordings via help@obv.io - please include the name and date of your event (see a little behind the scenes 27:00)
- Your events cannot be saved locally, unless you have an outside source, like an ATEM. Your recordings will go to the cloud. (Blue explain 30:10)
- Meeting must be finished before you are able to request recordings.
- New LiveChat hours - 8am - 5pm EST
- You can report bugs to LiveChat or HelpDesk (help@obv.io)
- Agenda items appear in the attendees time zone
- Dashboard cloning between events is not available at this time - coming soon!
- Dashboard cloning across organizations is not possible, because the data is stored separately.
- Disregard information on the full refresh. (43:00)
- When the billing and tracking system is active - you will be charged for attendees uploaded into Obvio, regardless of the number of attendees who actually show up to the event.
- SENDING ATTENDEE DASHBOARD LINKS (51:10) - there are several options to accomplish this (see below):
- You can send the event slug to all attendees in a mass email.
- This unique event slug is attached to only your event's Dashboard, so it will get attendees to the event. It does, however, add an additional step. Upon initial login, attendees will be prompted to login with an email and password. The first time they log in, their password is defaulted to their email address, so they will enter their email address twice, then be taken to a screen to create a new password. OR you can use your CRM to automatically send customized emails to all attendees.
2. You can export your attendees, get a CSV, and send everyone their unique link.
- Each attendee has an attendee link exlusive to them. If you have a small event, you can export attendees from Obvio as a CSV file, obtain each attendee's custom log in link and send it out to each attendee manually or with a mail merge. This will allow attendees to bypass the email address as password step and instead go directly to creating their password.
3. You can use your CRM to automatically send customized emails to all attendees.
- A CRM like InfusionSoft or Mail Chimp can be set up to grab each attendee's unique link and automatically send it to attendees via a user set up email campaign.
- InfusionSoft is natively integrated with Obvio. All other CRMs can be set up to communicate with Obvio through Zapier.
- To set up via Zapier, you will first need an invitation to Zapier. Email help@obv.io to receive this invitation. (explained at 55:00)
Q+A Picks Up at 58:00 minutes.
- Livestreamming from Facebook or an outside source. (59:00)
- It is now available.
- Blue has experienced third party streaming going down on Zoom, so it's always best to use a direct streaming source. (1:01:30)
- Renaming Areas and Rooms (1:03:02) - currently unable to delete areas and rooms, but renaming is possible
- Manually creating an attendee (1:06:00)
- You can see Blue retrieve his custom attendee link by clicking his name in the attendee roster (1:06:12)
- Waivers and Tech Checks are now OPTIONAL - you do not need these two initial login steps
- Differences between areas and rooms (1:12:41)
- Areas - the large, overarching space that essentially serves as your "ballroom" during an event. These areas can help keep everything organized.
- A small, simple event could require two areas (i.e. Main Stage and Tech Check)
- Rooms - are physical Zoom meetings that are activated within an area
- Each Zoom room can hold up to 1,000 attendees - so you may only need one room within an area, depending on the size of your event.
Important Note (1:14:30): You will always link a button to an AREA - not a room. Attendees will be filtered into a room automatically, Obvio is designed to load balance people across Zoom rooms (if you have multiple rooms set up and online).
- Agenda items can now be reordered via drag and drop! So disregard Blue's answer at 1:19:00, you do not need to delete and rewrite agenda items as of June 2021.
- Feature Request (not yet available) - more font choices, style guide
- Icons are now available within button customization!
- Team Members must have an Obvio account before you can invite them to an event. (1:29:00)
- Primary user then sends an invitation to the team member, team member accepts the invitiation, and then the primary user can assign a role to the team member.
- Blue demos how to create and assign a role to a Team Member - (1:33:37)
- Emoji discussion (1:39:45)
- You will configure emojis on the Dashboard within the sidebar, NOT under the emoji tab in Obvio.
- The black screen is where the emojis will float behind the speaker if you have the tech for this. This is an advanced feature that's requires extra tech.
- Translation is now a feature! View the June 2nd call for an update and tutorial (see Localization).
- Obvio Zoom rooms hold 1,000 attendees and can support 100 breakout rooms.
- Statistcs on attendees coming soon!
- Scheduling buttons is not an option - however, you can manually enable and disable those buttons. If they are enabled they will appear to attendees, if they are disabled they will not appear to attendees. (1:52:55)
- Benefits of using Zoom through Obvio (1:55:00)
- Full HD video
- 1,000 attendees per Zoom room
- 100 breakouts per Zoom room
- Secured rooms (1:57:30 - specific example of security)
- Welcome video clip placement (2:00:00)
- Those can now be embedded into blog posts
- Background image opacity is now a setting in Obvio! You can control it in the Dashboard tab.
- Speaker page has been reworked since this call.
- Points and gamification allows users to encourage attendees to engage with the event and Dashboard. Point options must be enabled in order for attendees to accumulate points. (2:20:50)
- Blog Posts order by publish date currently - most recent dates will appear at the top.
