003. Obvio Call - April 6

Topics covered include:

  • At the 2:30 mark you will see an example of evenly dispersed attendees across three different rooms. All of those attendess clicked on the same Main Stage button, but because there were three Zoom rooms online within that area, Obvio automatically load balanced attendees across the three rooms. 
    • If you have mulitple Zoom rooms - the chat is specific to each room, you are not seeing the same chat across all three Zoom rooms. 
  • Blue gives updates (5:15)
    • Embed HTML - insert embed codes and iFrames into the Dashboard
    • Edit Hero functionality - edit welcome text and upload an image (7:20)

Q+A Begins at 27:30

  • Explaination of tags and groups and their functions within Obvio (30:30)
    • Tags - are for InfusionSoft users only
    • Groups - custom fields within Obvio 
    • Groups and tags are used to display and hide various elements of the Dashboard 
      • These are referred to as Visibility Rules
      • You would use this rules if you have both VIP and general admission attendees and would like for one group to see one button and then the other group to see a different button. (see also, our Glossary).
      • Be superful careful when using visibility rules, they get tricky!
  • Merge codes works within Obvio. 
  • No cost to create an event - so you can go in and play around with a Dashboard, as long as you don't import attendees or activate Zoom rooms. 
  • Upgrades to the Speakers and Sponsors pages are currently up and running. (41:30)
    • Buttons below the sponsors to bring attendees to their virtual sponsor booth or to their website - depending on your event needs.
    • You need one (1) area with one (1) room for each sponsor - if you want to create a sponsor booth.
  • CRM integration (demo begins at 47:00) 
    • You will not need a Zapier integration if you use InfusionSoft, but other CRMs will require it.
  • Please disregard any information pertaining to the reset or "the great reset". (58:00)
  • Discussing the benefits of Tech Check (1:00:00 - 1:05:15)
    • It's a nice way to check in with attendees before the event itself - "warm embrace". 
    • It can help solve simple technical issues before the event begins.
    • It feels more personal, even though we're in a virtual setting. 
    • Cuts down the amount of time attendees spend in the HelpDesk on the day of the event. 
    • It is, however, optional! You can disable Tech Check within Obvio.
    • Here's an example of what Tech Check may look like.  
  • How to see if your attendees are checked in (demoed at 1:12:13)
    • You can export your attendees from Obvio and see who has signed their waiver - that's an indication that they have checked in. 
  • You can now embed videos and outside material into blog posts 
  • Gamifications - capabilities and limitations (1:18:00)
    • Points are easily awarded for things that happen on the Dashboard, but there are limitations if you want to gamify something outside of the Dashboard (example: you can't track and award points for someone writing a Facebook post, but you can track and award points for attendee's clicking on the link to Facebook on the Dashboard.)
  • Getting speakers into your event (1:22:50)
    • Make them a Team Member
    • Pull them in as an attendee - use a group that is for speakers only - make a button only visible to speakers
  • "Check Out" - this would check an attendee out of Obvio, so the next time they wanted to access the Dashboard they would have to complete all the check in processes again. 
  • Important note! (1:27:35) If you remove an attendee from a Zoom room, that person will not be allowed to come back into the meeting. So be cautious around removing attendees. 
    • If you have a security concern or need to have a private meeting that is team members only, it may be best to enable waiting room inside your Zoom room instead. 
  • Who can see your email address when you sign up for an Obvio owner's account?
    • Only SAGE team members
  • Your login is per event - not one login for all of Obvio. (explained at 1:33:30)
    • You may have an Obvio Owner's account, that's one account that allows you to create and edit Dashboards. But you will also have to create an attendee account for events hosted on the platform that you attend. 
    • For example, your Obvio Owner's account is a different sign in, than your sign in for the Q+A Calls. You are a user in your Obvio Owner's account, but an attendee on the Q+A Call. 
  • You cannot livestream from Zoom onto your Dashboard. (1:35:50)
    • You can embed a video onto the Dashboard, but it can't come from Zoom. 
    • The purpose of Obvio is security for your Zoom meeting.
    • If your production team is capable of sending out a livestream, that can be embedded on the Dashboard. 
  • Using Obvio as a long term meeting spot - this won't be cost effective as of right now. (1:40:30)
    • 1 attendee credit = 1 (one) person attending 1 (one) event for up to 3 (three) days (if your event is 4 (four) days, each attendee will use 2 (two) credits)
  • Using groups to label attendees (1:47:45)
    • Prepend - adding something before a person's name (the Zoom room name/number is imported into Zoom as a prepend to the attendee's name)
    • Append - adding something after a person's name (this is where the attendee label will appear once the attendee enters Zoom)
  • While you are editing your Dashboard, everything is autosaved - that means there is no "undo". (2:00:00)
    • This is also why you can't have more than one person editing your Dashboard at a time.
  • Reactions within Zoom are not customizable, those are set by Zoom. (1:58:50)
    • You can, however, create custom emojis by uploading a square, 150x150 pixel, png and adding it to the emojis in the sidebar.
  • Tech Check - details (2:02:45)
    • Tech Check is an optional initial check in step. (2:03:35)
    • You don't have to phyiscally hit the "Check In" button next to the attendee's name in Obvio, instead this is something that happens automatically upon completion of your event's required check in process. 
    • You can manually "Check In" and attendee and they will be able to bypass Tech Check, but not the waiver or password creation steps!
    • Attendee experience in Tech Check (2:04:00) 
      • There is no line or wait time read out when attendees come to check in. 
      • However, you can create many Zoom rooms within your Tech Check area and limit how many people are allowed in each room. That way Obvio will load balance across all your Tech Check rooms and you won't have 50 people trying to check in at once with one agent. Obviously, this does require man power (multiple tech check agents to man each room).
  • Anchor link/tags (demoed beginning at 2:05:30)
  • Areas and rooms (2:09:30)
    • Areas are what your buttons will link to
    • Rooms are physical Zoom rooms that fall underneath your Areas. These Zoom rooms are where your attendees will be when they view the event. 
  • ATEM mini capabilities (demoed at 2:20:30)
    • Overlaying images/tickers over speaker's video.
  • Buttons appear where you place them. They are able to be moved around, once on the Dashboard, using drag and drop.
