Here is a step-by-step knowledge base for launching a Zoom Room and managing attendee access via the Obvio platform:
 
1. Preparation (Before the Event)

Create a Zoom Area: In the Obvio backend (app.obv.io), navigate to Zoom Areas on the left-hand menu and click New Area. Name it something relevant (like "Main Stage"). Creating an area automatically generates one Zoom meeting (or "room") inside of it.

  • Link the Dashboard Button: Go to your dashboard design settings, select the button you want attendees to use (e.g., "Join Event"), set its action to Join Area, and select the Zoom Area you just created.
  • Verify Event Dates: Ensure your event’s start and end dates/times in the Settings cover the time you are trying to launch Zoom.
2. Launching the Room (Pre-Event Setup) Obvio is designed to let you prepare your Zoom meeting before any attendees arrive. Think of the Room as the meeting itself and the Area as the front doors to the ballroom.
  • Keep the Area Closed: Ensure the Open Area toggle is turned OFF. When this is closed, any attendee who clicks the button on their dashboard will be sent to a branded, customizable "Offline Page" instead of a Zoom waiting room.
  • Open the Room: Toggle the Open Room switch to ON. This initializes the Zoom meeting.
  • Start the Meeting: Once the room is open, a blue Start button will appear. Click Start to automatically launch the Zoom application on your computer.
  • Host Privileges: You do not need to log into a separate Zoom account. The first team member to click "Start" from the Obvio backend will automatically enter Zoom as the Host. Any subsequent team members who click the button (which will now say Join) will automatically enter as Co-hosts. Pro-tip: If you ever need to reclaim the Host role, hold down the Shift key while clicking the "Join" button in the backend.
3. Preparing the Stage
  • While the area is still closed, you are safely inside Zoom without attendees. Use this time to adjust your Zoom settings (e.g., disable attendee unmuting, turn off chat, share your screen, or start background music).
  • If you have guest speakers who need to do a tech check before the doors open, you can send them a Direct Room Access link (sometimes called a Registration Link or Stage Door link). This bypasses the closed Area doors and drops them straight into the Zoom meeting with you.
4. Opening the Doors to Attendees In order for attendees to successfully enter the Zoom meeting from their dashboard, four checks must be true in the Obvio system:
  1. The event dates must be active.
  2. The Room must be open.
  3. The Area must be open.
  4. At least one person (the Host) must already be inside the Zoom meeting.
  5. Let Attendees In: When you are fully prepared to begin, go back to the Obvio backend and toggle Open Area to ON.
  6. Any attendees sitting on the Offline Page will automatically be redirected into the Zoom meeting without needing to refresh their browsers. Attendees clicking the button on their dashboard will now flow directly into Zoom with their correct names assigned, without needing to enter a password
