Launch a Zoom Room via Obvio

Launching Zoom rooms through the backend of Obvio is a three step process. These three steps are outlined below. 

Please note, this is the process for team members/event support staff to enter Zoom rooms via the backend of Obvio. This is a different process than attendees will use to access Zoom rooms from their event dashboard. 

  1. Navigate to the areas tab in Obvio. 
  2. Click the area you'd like to activate. Note: Opening the area allows attendees to click the button located on the dashboard, so this is a crucial step. However, attendees will receive an offline message unless a room underneath the area is also open and launched.
  3. In the area you are opening, click the room name. 
  4. Open the room.
  5. Click "START" underneath the open toggle to launch Zoom. 
  6. Follow any prompts until you get all the way into the Zoom room.
  7. If you are the first person to launch the Zoom room, you now have all hosting privileges associated with being a Zoom host.
  8. Attendees can now click on associated button on the dashboard and will be allowed into the open Zoom room.

Notes

  • Anyone acting as event staff will most likely enter the Zoom room through the back end of Obvio. The room and area only needs to be started once. When the toggles associated with the area and room are blue, that means the dashboard button is active and the Zoom room is launched. 
  • Event support staff entering the Zoom room after it has been launched will still click the blue "START" button on the room page. They will then be dropped into the Zoom room. 
  • The very first person to launch the Zoom room will automatically be granted host permissions in the Zoom room. Any subsequent support staff entering Zoom from the backend of Obvio will be automatically assigned co-host permissions. 
  • Attendees enter Zoom rooms via buttons on the dashboard. Attendees should NOT have backend access to Obvio.
