When hosting an event on Obvio, the standard attendee journey involves clicking a personalized magic link, landing on a branded dashboard, and clicking a button to join the Zoom meeting. However, there are times when you need a faster, more direct route—bypassing the dashboard entirely like when you just want your guest speaker to go right into Zoom and not have to go through the dashboard.

This is where Direct Access Links (often referred to by the Obvio team as "backdoor" links) come into play.

Here is a comprehensive guide to understanding, creating, and utilizing direct access links for your next virtual event.

What is a Direct Access Link?

A direct access link is a unique URL that skips the Obvio event dashboard and drops a user directly into a specific Zoom meeting. When a user clicks this link, they are taken to a simple, branded page that asks for their first name, last name, and email address. Once they submit those details, Zoom launches immediately, and their inputted name is passed through to their Zoom display name.

Key Use Cases

1. Early Access for Speakers and Team Members The most powerful feature of a room-level direct access link is that it bypasses the Area's "Offline" status. When you are preparing for your event, you will typically close the Zoom Area so attendees see a customized "Offline" or "Waiting Room" page on their dashboard. By giving your speakers or team members the direct access link, they can enter the Zoom room early for a tech check or briefing while the attendees remain locked out.

2. Simplified Free Webinars If you are hosting a quick, free webinar or a 1-on-1 meeting and you don't have the time or need to build out a full event dashboard (with agendas, resources, and sponsor pages), you can simply distribute the direct access link. This uses Obvio as a polished wrapper for Zoom without the need to design a full hub.

3. Help Desk Access For larger events, you can create a separate "Help Desk" Zoom room and use a direct access link to allow attendees who are struggling to get into the main dashboard to jump straight into a support room for assistance.

How to Create a Direct Access Link

Generating this link is quick and straightforward:

Navigate to Zoom Areas in your Obvio event menu.
Click on the specific area you want to access, and then click on the Room Number (e.g., "1") at the bottom of the page.
Find the toggle labeled Enable direct room access (previously known as "Registration Enabled") and turn it on.
A URL will appear. Click the copy icon to share this link with your intended guests.

Customization and Security

Since direct access links can be shared freely, Obvio provides several ways to customize the experience and lock down security.

Customizing the Page If you click the gear icon next to the generated link, you can customize the entry page. You can change the labels for the First Name, Last Name, and Email fields, alter the text on the "Join Room" button, and add a brief description to the page so guests know they are in the right place. The visual branding (logos, backgrounds) will automatically inherit the styles you set up for your main event Sign-Up/Login page.

Restricting Access (Security) By default, a direct access link is open to anyone who has it, which is great for public webinars but risky for paid events. To secure the link:

Click the gear icon next to your direct access link.
Toggle on the setting: Registration is limited to existing attendees.
Once enabled, the link will check the user's email against your Obvio attendee list. If they are not a registered attendee in your system, they will not be allowed into the Zoom room.

Removing Friction with URL Parameters If you are sending this link through a CRM or email marketing platform (like GoHighLevel, Keep, or ActiveCampaign), you can make the entry process seamless by appending URL parameters. By adding ?first_name=, &last_name=, and &email= along with your CRM's merge tags to the end of the URL, the entry form will be pre-filled when the user clicks the link. All they have to do is click the "Join Room" button.

Obvio Pro vs. Enterprise Plan Differences

Pro Accounts: You have access to Room-level direct access links. These are tied to a single specific Zoom room and ignore the Area's open/offline status.
Enterprise Accounts: You additionally have access to Area-level direct access links. Unklike the Room level direct access link, the Area link does respect the open/close toggle of the Area, meaning if the Area is offline, the link will not let people in. Enterprise users can also use the redirect link creation tool to make these long URLs much shorter and cleaner (e.g., event.obv.io/r/speaker)

Difference between Room-level and Area-level links

Room-level links and Area-level (Enterprise Plan Only) links both serve as direct access links that bypass the Obvio dashboard and drop users directly into Zoom, but they function differently in how they route attendees and handle security toggles:

- Routing and Load Balancing: A Room-level link drops a user into one specific Zoom room. An Area-level link is a load-balancing link; if you have an event with hundreds of people and multiple rooms within a single area, the Area-level link will automatically distribute the incoming attendees evenly across the available rooms.
- Offline/Open Status: Room-level links act as a "back door" or "stage door". They bypass the Area's open/close status, meaning anyone with the link can enter the Zoom room even if the Area is technically closed or offline to attendees. Area-level links act as the "front door" and respect the Area's open/close toggle. If the Area is closed, anyone using the Area-level link will receive an offline message and cannot enter Zoom.
- Account Availability: Room-level links are available to all users, while Area-level links are an Enterprise-only feature
