Where Are Recordings Stored? Recordings in Obvio do not actually live directly inside the Obvio platform; they are recorded to the Zoom cloud and are accessed via a link provided within your Obvio dashboard.
 
Step-by-Step Guide to Retrieving Recordings
  1. Log into your Obvio account and navigate to your specific event.
  2. On the left-hand navigation menu, click on Zoom areas.
  3. Select the specific area where your event took place (e.g., "Main Stage").
  4. Click on the room number (usually "1") located near the bottom of the area page. Note: The recordings button will not appear at the area level if you have multiple rooms; you must click into the specific room number first to see it.
  5. Click the Recordings button located in the top right corner of the screen. Please be patient, as this page can take a moment to load if your event has generated a large volume of recordings.



  6. Once the page loads, you will see your recording files listed chronologically by date and time. Click Download to get the default video file, or click the down arrow next to the download button to access a drop-down menu of additional recording formats.


Available Download Formats Depending on what features (like screen sharing) were utilized during your meeting, Zoom generates several different files that you can download independently:
  • Shared screen with active speaker (This is the default recording option).
  • Active speaker only (Full screen of the speaker with no shared screen).
  • Shared screen with gallery view.
  • Gallery view by itself.
  • Screen share by itself.
  • Audio only.
  • Audio transcript (A text document of the spoken dialogue).
  • Chat file (A text document of all messages posted in the Zoom chat).
  • AI Companion summary and next steps (If this feature was manually enabled in Zoom at the start of the meeting).
Important Details & Best Practices
  • Processing Time: It generally takes anywhere from half the length of your meeting up to one-and-a-half times the length of the meeting for Zoom to process the cloud recordings and make them available in Obvio. For long events (e.g., an 8-hour day), expect it to take a few hours to process.
  • 60-Day Expiration: Recordings are automatically deleted from the cloud after 60 days. It is highly recommended that you download all necessary files as soon as they become available and store them securely on your own external drive or cloud hosting service (like Vimeo, Searchie, or YouTube).
  • Do Not Stop/Start Recordings Manually: Obvio meetings are set to auto-record to the cloud as soon as the meeting opens. You should never touch the stop or pause recording buttons during your event. The majority of lost recordings occur because a host manually stopped the recording during a break and forgot to restart it when the event resumed. It is much safer to let the recording run continuously and simply trim out the dead air or breaks using video editing software after you download the file.
