Team Access Panel (Enterprise Users)

The Team Access Panel is an Enterprise-only feature in Obvio designed for managing large events where you might have dozens or hundreds of crew members, coaches, or volunteers.
 
It allows these individuals to join specific Zoom rooms directly from their dashboard with elevated permissions, completely bypassing the need to give them full Obvio backend/administrative access.
 
The feature operates entirely through a specific tag infrastructure applied to the team member's attendee record. By applying the correct combination of tags ideally synced through your CRM prior to the event—a special access panel will appear on their dashboard
 
Here is how the tagging system controls the panel:
  • Panel Visibility: Adding the base Team tag is what triggers the Team Access Panel to appear on the user's dashboard.
  • Area Access: You can restrict a team member to specific Zoom areas by using a tag that combines "team" and the first word of the area name. For example, TeamMain restricts them only to the "Main Stage" area. Alternatively, applying TeamAAA will grant them access to every area in the event.
  • Role/Permissions: You can dictate exactly how they enter the Zoom room:
    • Attendee: If no specific role tag is added, the user will only get the option to join the room as a standard attendee.
    • Co-host: Applying the TeamCoHost tag allows them to join a room that is already running with co-host privileges.
    • Host: Applying the TeamHost tag gives them the highest level of panel access. This allows them to actually start a room that hasn't been opened yet, simultaneously toggling the room "on" and launching the Zoom meeting.
The User Experience and Use Cases When a properly tagged team member logs into their dashboard, they will see a dropdown menu inside the panel where they can select the area they need to access. Depending on their permissions, they will be presented with options like "join as attendee" or "join as co-host".
This panel is particularly powerful for:
  • Room Hopping: Crew members who need to quickly bounce back and forth between multiple concurrent rooms (e.g., jumping from room 1 to room 5) can easily do so using the dropdown menu.
  • Self-Sufficient Speakers: If you have a guest hosting a bonus Q&A session, you can give them "team host" access to a single room. They can open the room and let attendees in themselves, all without ever seeing the Obvio backend.
  • Simplified Onboarding: You can send scheduled emails to your staff telling them to click their standard dashboard link 30 minutes prior to the event, and the panel will be waiting for them to join.
